Job Description
The Senior Office Operations Specialist is responsible for managing and optimizing advanced logistics and office operations while ensuring high-quality communication and service delivery to clients, vendors, and internal teams. This role focuses on driving process improvements, resolving complex issues, and maintaining service levels without supervisory duties.
Key Responsibilities
- Customer Service and Client Relationship Management:
o Act as a senior point of contact for escalated logistics and fulfillment inquiries.
o Develop strong client relationships, ensuring proactive communication regarding shipment status, service disruptions, and process improvements.
o Collaborate with internal teams (warehouse, shipping, billing) to resolve client challenges, implementing solutions to prevent recurrence.
- Advanced Order Processing and Project Coordination:
o Handle complex order configurations and manage exceptions within the ERP/WMS systems.
o Setup and oversee critical order/project shipments, ensuring seamless coordination across multiple stakeholders for on-time delivery.
- Inventory Optimization and Analysis:
o Lead inventory audits, ensuring root-cause analysis for discrepancies and actionable reporting to clients.
o Provide guidance on inventory replenishment strategies, leveraging advanced forecasting techniques.
- Documentation and Compliance Oversight:
o Review and approve shipping documents, ensuring compliance with client, company, and regulatory standards.
- Financial Operations Support:
o Oversee complex invoicing scenarios, ensuring alignment with customized client agreements.
o Partner with finance teams to address escalated billing discrepancies and streamline accounts receivable processes.
- Advanced Problem-Solving and Process Improvement:
o Investigate and resolve high-impact discrepancies in shipments, orders, and inventory, collaborating across functions/teams/departments.
o Lead root-cause analysis initiatives to drive operational improvements and enhance customer satisfaction.
Qualifications
- English Required, Korean Fluency Strongly Preferred
- High school diploma or equivalent (Associate/Bachelor's degree preferred).
- Minimum 2-3 years in logistics, supply chain, customer service, and/or accounts receivable (preferably in a 3PL environment).
- Strong client relationship management skills with expertise in issue resolution.
- Advanced knowledge of invoicing, accounts receivable, and collections processes.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experienced with WMS/ERP systems.
- Analytical mindset with proven problem-solving and process improvement abilities.
- Detail-oriented with excellent organizational skills and the ability to multitask effectively.
Work Conditions
- Salary: $55,000 - $65,000 (based on experience)
- Full time On-Site Employment
- Location: Secaucus, NJ
- Hours: M-F, 8AM to 5PM
